HRM - Documents - How It Works

  • Modified on: Fri, 18 Sep, 2026 at 12:05 PM

This feature lets you store and share company documents with the right people.

You can share a document with:

  • All employees — like your rules of conduct or sick leave policy
  • Managers only
  • A specific department — like a team schedule
  • One employee — like their employment contract

How to Upload a Document

  1. Go to Employer → HRM → Documents
  2. Click Add
  3. Click Select file(s) and pick the file from your computer

While Uploading, You Can Also:

  • Pick or create a sharing category from the dropdown (default is "All employees") — choose a department, all managers, all employees, or a single employee. Use "+Add category" to create a new one.
  • Turn on an email notification and add an optional message. Only active employees receive the email notification; inactive employees still see the document on their end but do not get notified.

When you're done, click Save.

Managing Documents

Hover over a document to see these options on the right:

OptionWhat it does
EditChange the details
SharingChange who can see it
ArchiveHides it but keeps it safe
DeletePermanently removes it

Tip: When a document expires, archive it — don't delete it. That way you can still find it later if you need it. Deleted documents are gone for good and cannot be recovered.

Note: this document upload screen (Employer > HRM > Documents) does not have an expiration date or reminder option. Those are available on the separate employee-level document screen (Employees > select employee > HR > Documents).
